Job Overview
Our busy law firm is seeking a reliable and professional Office Assistant to support daily office operations. This position regularly interacts with clients, the public, and colleagues throughout the firm. The ideal candidate enjoys working with people, values variety in their work, and approaches tasks with strong attention to detail and sound judgment.
This role requires general knowledge of office equipment, basic computer skills, strong organizational abilities, and the ability to work both independently and as part of a team. The Office Assistant must be dependable, proactive, and capable of managing responsibilities with minimal supervision.
Responsibilities
Mail and Delivery Services
- Pick up incoming mail from the Post Office
- Scan incoming mail daily and route appropriately
- Sort and distribute inter-office mail
- Postmark and prepare all outgoing mail
- Handle special mailings, including certified, registered, and large client mailings
- Receive, scan, and deliver Federal Express and UPS packages
Reception and Communication Support
- Provide back-up coverage for reception duties during breaks, lunch periods, and vacations
- Send outgoing faxes and electronically route incoming faxes
Office Services and Supply Management
- Stock and maintain all workrooms with appropriate supplies
- Stock and maintain kitchen and break areas
- Ensure copy machines and printers are stocked with appropriate paper and envelopes
- Order and maintain inventory of basic office and kitchen supplies
Administrative Support
- Assist with bulk scanning and special scanning projects as assigned
- Provide general office support and assist with special projects as needed
Qualifications
- Strong attention to detail
- Ability to work independently, anticipate needs, and follow tasks through to completion
- Comfortable using scanners, copiers, and basic office technology
- Ability to prioritize tasks and manage multiple responsibilities effectively
- Strong organizational and communication skills
- Ability to exercise good judgment and maintain confidentiality
Education
- High School diploma required; Associate Degree preferred
Physical Requirements
- Must be able to sit and/or stand at a desk and work at a computer for prolonged periods.
- Must be able to lift 15 pounds at times.
- Must be able to walk short distances to complete work‑related errands
