Job Overview
Our busy law firm is seeking a reliable and professional Receptionist to serve as the first point of contact for our firm. This position regularly interacts with clients, the public, and colleagues throughout the firm. The ideal candidate enjoys working with people, values variety in their work, and approaches tasks with strong attention to detail and sound judgment.
Responsibilities
Key Responsibilities
- Greet clients and visitors and notify attorneys and staff of arrivals
- Answer phones, route calls and voicemails, and monitor general email
- Manage conference room schedules, setups, and daily upkeep
- Coordinate deliveries, mail, faxes, and package logging
- Prepare and maintain coffee, water, and hospitality areas
- Track employee in/out status and update calendars
- Maintain a clean, organized reception area, conference rooms, and kitchens
- Provide coverage for our Intake Coordinator during vacations by conducting conflict checks and managing file intake processes.
- Support general office operations and administrative tasks as needed
Qualifications
- Prior receptionist, front desk, or office services experience (professional services or law firm experience preferred)
- Strong organizational skills and attention to detail
- Excellent communication and customer service skills
- Ability to multitask, prioritize, and work independently
- Comfortable using Microsoft Outlook, Teams, SharePoint, and office technology
- Professional demeanor and reliability are essential
Education
- High School diploma required; Associate degree preferred
Physical Requirements
- Must be able to sit and/or stand at a desk and work at a computer for prolonged periods.
- Must be able to lift 15 pounds at times.
